Creating a Regular Work Order

When a sale requires little or no special handling, you can create a regular work order. Creating a work order includes gathering customer and vehicle information and defining which items to sell. Work orders can be created at stores only.

To create a regular work order

1.       Click Invoicing. The Open Work Order List appears.

2.       Click New Work Order. The Name Lookup/Entry screen appears.

3.       Enter the customer information:

  • For a returning customer, look up the customer. For more information, see Looking Up a Customer

  • For a new customer, click Cancel and add the customer. For more information see, Adding a Customer.

4.       Click OK to close the Customer Maintenance screen. If TireMaster prompts you for a vehicle, go to step 5. If the Work Order screen appears instead, go to step 6.

Note:       If there is already at least one open work order for the customer, TireMaster prompts you to you select an existing work order from a list that appears or to create a new work order for the customer.

5.       Enter vehicle information, if needed:

  • For a returning customer, select a vehicle from list and click OK.

  • For a new customer, click Add and set up the vehicle. Then click OK to continue. For more information, see Adding a Customer’s Vehicle.

  • If the customer is buying only tires or parts, click OK to continue.

Note:       Whether the Vehicle List appears at point of sale depends on the settings for the type assigned to the customer. For more information, see Adding Customer Types and Customer Type Edit Screen.

6.       Enter the following information on the Work Order screen as needed, and then click OK:

  • Your user ID in the Starting Salesperson field. To enter this information, press keyAcctTilde00001.jpg and select a name from the list.

  • PO number

  • Reference number

  • License plate number

  • The vehicle’s mileage

Note:       Depending on how the system controls are set, you might be required to enter the mileage. For more information, see Force in Mileage.

  • Comments or notes about the job. (Up to four thousand characters are allowed.)

7.       If you need to change the contact information, click Contact and make a selection from the list that appears or type the customer’s phone number in the Contact field.

8.       Add an item to the work order on the Invoice Entry screen, using one of the following methods:

9.       Type the item’s quantity, and press keyArrow00003.jpg to see if any add-on items are assigned to it. For more information, see Add-Ons.

Note:       If you want to remove an item from the work order, select the item and press the Delete key.

10.   To put additional items on the work order, repeat steps 8 and 9.

11.   Change the parts price, labor price, and FET for any of the items if needed.

Note:       Depending on how the system controls are set, an item’s FET is either the average cost of its federal excise tax or the FET used on its last receiving. For more information, see Use Next FET for POS/Receivings.

12.   Assign salespeople and mechanics to the items as needed, using one or both of the following methods.

  • Type the employee’s user ID in the top row for the Sales, Mech 1, or Mech 2 column and press Enter or press keyAcctTilde00005.jpg and make a selection from the list that appears. Depending on how a system control is set, the user ID will be entered for additional rows. For more information, see Work Orders - Mechanic Autofill

  • Type the employee’s user ID in the Sales, Mech 1, or Mech 2 field for the applicable row or press keyAcctTilde00006.jpg and make a selection from the list that appears.

13.   Set a promised time and the status for the job, if needed. For more information, see Setting the Promised Time and Changing a Vehicle’s Job Status.

14.   Follow the steps below to print a copy of the work order or click Quit:

a.    Click Work Order. The Work Order screen appears.

b.    Make sure the Print check box is selected and type the number of copies you need.

Note:       If the number of copies is set to 0, TireMaster displays the work order on the screen.

c.    Update the remaining information on the screen if needed.

d.    Click OK.

You can add and remove items from the work order as needed. To update the work order, select it on the Open Work Order List and click Select. When work on the vehicle is done, you can complete the invoice. For more information, see Completing an Invoice.
